Executive Personal Assistant

In this position you will be the one who supports and represents a Senior Loan Officer in her personal and business management responsibilities. Your primary contribution to our team will be keeping our Claretta Webb organized, informed, prepared and focused.

Job Description:
I need a dynamic and talented super star to fill the role of an Executive Personal Assistant in our Avon, MA office. This position provides high-level administration and personal support to the Claretta. This position requires use of initiative, independent judgment and ability to juggle many tasks at once. The energetic person in this position makes high-level contacts of a sensitive, complex and highly confidential nature both personally and professionally.

Skills/Qualifications/Abilities:
· Experience assisting a top executive including scheduling his or her day; preparing them for meetings; ensuring they know their schedule; answering their phones; solving lower level problems for them and generally assisting them with everything from personal errands to customer problem resolution.
· Demonstrates leadership qualities by going above and beyond the call of duty whenever necessary.
· Must have a winning, positive attitude, the willingness to work extra hours when needed and without advance notice.
· Must use superior customer service telephone etiquette.
· Must have excellent verbal and written communication skills, including the mastery of spelling, punctuation and syntax.
· Must be able to work in a fast paced environment with constantly changing priorities.
· Extremely detail oriented and accurate down to crossing the T’s and dotting the I’s.
· Ability to manage conflict with emotional maturity.
· Possesses high degree of dedication, loyalty, integrity, and sensitivity to boundaries, personal and professional.
· Possesses strong organizational skills, flexibility, and the ability to prioritize work assignments.
· Capacity to manage stressful situations without allowing frustration to impact job performance.
· Must have strong auditory memory (recall) and/or rapid and accurate note-taking skills.
· Highest of integrity and work ethic.
· Must be assertive enough to take charge, but not overbearing or out of line.
· Must have car and proof of auto insurance.
· Must have 5+ years as an executive/personal assistant.
· Must have excellent MS Office skills, knowledge of Palm PDA helpful.

Essential Duties:
· Proactively schedules and coordinates meetings and events including all planning details.
· Accurately and completely transcribes voice mail messages twice daily. Is proactive whenever possible by acting on voice mail messages and/or adding comments to provide Claretta with more information and updates.
· Processes Claretta's office mail.
· Coordinates travel – closely manages all of the travel arrangements including personal trips, and ensures accuracy of ticketing and clarity of information in personal and business calendar and Palm Pilot. Creates itineraries and verifies that Claretta has on his person all necessary documents and information, such as airline tickets, itineraries, hotel reservation details, rental car confirmations, etc.
· Works with contractors to schedule home repairs and maintenance.
· Prepares monthly expense reports.
· Professionally corresponds with clients, vendors and peers.
· Maintain contacts (Outlook) and business card binders.
· Manages calendar (Outlook), meetings, and appointments – schedules internal and external meetings, conference calls, and other events, taking into account frequent changes and constant reprioritization. Manages calendar according to business and personal priorities, ensuring all appropriate parties are aware of itinerary and making sure that all changes are seamlessly integrated regardless of timeframes. Makes allowances for meetings to run late and reminds Claretta of subsequent appointments periodically throughout the day.
· Organizes and maintains office – keeps desk top neat and organized every day, maintains property, project and personal files on desktop, maintains meeting and project binders, meets with Claretta to on Mondays to do a weekly briefing and Fridays to review all documents on desk and process, organize, and otherwise dispose of them per instructions.
· Drafts correspondence – writes letters of various types, using creativity and imagination to expand on  verbal description of contents. Processes thank you cards, copies of articles, and other items that Claretta wants to send to professional and personal contacts.
· · Manages digital images and keeps personal photo albums.
· Runs all types of errands– including but not limited to post office, purchases gifts and personal items from petty cash.
